At Guardian Assessment Pvt. Ltd., we are committed to delivering reliable, transparent, and high-integrity ISO certification services. We understand that unforeseen circumstances or changes in organizational priorities may lead clients to cancel their certification applications or seek refunds. Given the resource-intensive and phased nature of ISO certification, including audit preparation, travel, document review, and auditor engagement, we maintain a detailed policy to ensure clarity, fairness, and accountability for both the client and the certification body. This policy outlines the eligibility criteria, financial implications, timelines, and procedural steps for processing refund and cancellation requests. We aim to resolve such matters professionally, ensuring regulatory alignment and client satisfaction.

1. Cancellation Policy

Clients may submit a written request to cancel their application for certification at any point during the certification process. However, the eligibility for a refund depends on the phase of certification that has been completed at the time of the request.

1.1 Pre-Audit Cancellation

  • If the client cancels before the commencement of any audit activity or documentation review, the request is considered a pre-audit cancellation.
  • Administrative Fee: A predetermined percentage of the total fee will be retained to cover administrative, documentation, and registration costs incurred during initial client onboarding.
  • Refund Timeline: The remaining amount will be refunded within 14 working days after approval.

1.2 Cancellation After Stage 1 or Stage 2 Planning

  • If cancellation occurs after audit planning has started but before any onsite or offsite audit activity begins, the client may be entitled to a partial refund. However, auditor assignment, travel coordination, and planning fees will be deducted.
  • Refund is strictly not applicable once audit resources have been deployed.

1.3 Post-Audit Cancellation

  • No refunds are provided once either Stage 1 or Stage 2 audit has begun.
  • This includes:
    • Offsite document review by auditors (Stage 1)
    • Onsite audit activity or technical discussions with client representatives (Stage 2)
    • Review of findings or NCR closures

2. Refund Policy

Refunds are considered under specific situations with the following terms:

2.1 Prior to Audit Activities

  • Refund is processed minus documentation and coordination charges.
  • Refund requests must be initiated in writing within 7 working days from payment.
  • Approved refunds will be processed within 14 business days.

2.2 Non-Refundable Situations

  • Refunds are not permitted once audit activity has commenced.
  • Refunds are not granted due to:
    • Client dissatisfaction with audit outcomes
    • Incomplete documentation from the client side
    • Delay or non-availability of client staff during scheduled audits
    • Certification being withheld due to valid non-conformities

2.3 Delayed Project Suspension

  • If a client chooses to defer or delay the audit beyond 6 months from the payment date without valid justification, Guardian reserves the right to close the application. In such cases, no refund will be provided.

3. Scope Modification & Audit Rescheduling

Guardian Assessment understands operational changes may require rescheduling or scope modification. These are handled as follows:

  • Rescheduling within 15 days of planned audit: No additional fee if notified in writing.
  • Rescheduling within 7 days: May incur administrative rescheduling charges.
  • Scope extension: Treated as a new application or upgrade, subject to re-evaluation and fee revision.
  • Reduction in scope: Requires written justification; refund not applicable for unused man-days.

4. Refund / Cancellation Request Procedure

All requests must be submitted in writing to: info@guardiancertification.com

Include the following:

  • Client organization name and contact details
  • Certification application ID/reference number
  • Reason for refund/cancellation
  • Stage of certification at time of request
  • Any supporting documents (emails, audit plan, payment proof, etc.)

A formal acknowledgment will be issued within 2 business days. The outcome will be shared within 14 working days post evaluation.

5. Appeal or Dispute Resolution

If the client disagrees with Guardian’s refund or cancellation decision:

  • An appeal may be submitted with additional details or clarifications
  • The case will be reviewed by a neutral panel within Guardian’s Compliance & Grievance Redressal Cell
  • Final decision will be documented and communicated in writing
