To get an ISO certification is a significant milestone for any organization. Whether you are aiming for ISO 9001 (Quality Management), ISO 27001 (Information Security), or ISO 14001 (Environmental Management), certification serves as global proof of your commitment to excellence, compliance, and continuous improvement. However, for many businesses—especially MSMEs and first-time applicants—the phrase “certification audit” can sound daunting. How do you apply? What happens during an audit? How long does it take?

At Guardian Assessment Private Limited, we believe that transparency is the foundation of trust. As an independent, UAF and IAS-accredited certification body, our goal is to make the certification journey as clear and seamless as possible. We have designed a structured, impartial, and globally recognized certification workflow that evaluates your systems fairly and accurately.

Here is a detailed breakdown of how the ISO certification process works, from your initial application to the moment you are granted your certificate.

Prerequisites: Preparing for Your ISO Certification Audit

As an independent, accredited certification body, Guardian Assessment Private Limited evaluates your systems impartially. To ensure a smooth certification process, your organization must independently complete these foundational steps before initiating the formal audit with us:

  • System Implementation: Design and implement documented policies, procedures, and frameworks that align with the requirements of your chosen ISO standard.
  • Internal Audit: Conduct a comprehensive internal audit to identify and resolve any compliance gaps or non-conformities.
  • Management Review: Hold a formal management review meeting with your leadership team to evaluate the effectiveness and readiness of your management system.

Our 6-Step Certification Workflow

Our process is meticulously designed to ensure impartial assessment, comprehensive technical review, and strict compliance with international ISO requirements.

Step 01: Application Review

The journey begins when you submit an inquiry or application to us. We don’t believe in a one-size-fits-all approach. During this initial phase, our team carefully reviews your application to understand the specific scope of your business, the ISO standard you are applying for, and your core organizational details (such as employee count, number of sites, and industry sector). This allows us to ensure we have the right technical competence to evaluate your specific industry.

Step 02: Audit Planning

Once the application is approved, we move into the planning phase. Transparency is key here—we want to ensure your team is fully prepared and knows exactly what to expect. We finalize the audit duration based on international guidelines, assign a highly competent audit team matched to your industry sector, and share a detailed certification plan with your management.

Step 03: Stage 1 Audit (System Readiness)

Before we look at how your processes are running in real-time, we need to ensure your foundational framework is in place. The Stage 1 Audit is essentially a “readiness review.” Our auditors will evaluate your documentation, policies, and system design to verify that they align with the requirements of the chosen ISO standard. If there are any gaps in your documentation, this stage gives you the opportunity to address them before the final assessment.

Step 04: Stage 2 Audit (Implementation & Compliance)

This is the main event. During the Stage 2 Audit, our expert auditors visit your site (or conduct a rigorous remote assessment, depending on the scope) to verify that your documented management system is actually being implemented effectively in your day-to-day operations. We engage with your team, observe processes, and gather objective evidence to ensure full compliance with the ISO standard.

Step 05: Technical Review

Impartiality is the core of our business model. To maintain the highest level of integrity, the findings from your Stage 1 and Stage 2 audits are not approved by the auditors themselves. Instead, the audit file is handed over to an independent Technical Review committee. This impartial body reviews the audit findings, verifies that all procedures were followed correctly, and ensures that any non-conformities have been adequately addressed by your team.

Step 06: Certificate Issuance

Once the Technical Review committee is satisfied with the compliance and implementation of your management system, the final successful decision is made. Guardian Assessment Private Limited will then officially grant and issue your globally recognized ISO Certificate. You will also receive guidelines on how to proudly use the Guardian and accreditation body logos to showcase your achievement to stakeholders, clients, and global markets. Additionally, your active certification status will be published for live verification on Guardian Own website and on the the official IAF CertSearch platform.

What Happens After Certification?

Achieving certification is just the beginning of a culture of continuous improvement. To ensure that your organization continues to meet the standard’s requirements, your certification is maintained through Annual Surveillance Audits. These are shorter, periodic check-ins conducted over the next two years to ensure your systems remain effective and compliant as your business grows. After three years, ISO Re-certification Audit is conducted to renew your status.

Frequently Asked Questions

Before the formal certification audit begins, your organization should have implemented the applicable management system, completed an internal audit, and conducted a management review. These steps help demonstrate that your system is established and ready for independent assessment.

The Stage 1 Audit focuses primarily on your management system readiness, documentation, and overall preparation for certification. The Stage 2 Audit evaluates how effectively the management system is actually implemented in your day-to-day operations through process reviews, discussions with personnel, and objective evidence.

If non-conformities are identified, your organization will need to address them appropriately before the certification process can be successfully completed. The actions taken are reviewed as part of the certification process to confirm that the identified issues have been adequately addressed.

At Guardian Assessment Private Limited, the auditors who conduct the audit do not make the final certification decision themselves. The audit findings are independently reviewed through the technical review process before a certification decision is made and the ISO certificate is issued.

Certification must continue to be maintained after the initial certificate is issued. Annual surveillance audits are conducted during the certification cycle to confirm that the management system continues to operate effectively. Toward the end of the three-year cycle, a recertification audit is conducted to evaluate continued certification for the next cycle.
